Build a Motor Claim File That Is Easy to Follow

A simple folder structure helps you distinguish incident evidence, insurer decisions and repair records without confusing an estimate with approval.

A motor claim file should tell one clear story: what happened, what evidence was supplied, what the insurer decided, and what the workshop repaired. You do not need complicated software to achieve this. A labelled paper folder or a private digital folder can be enough, provided it is kept accurate and up to date.

This guide from CarTech Hub – Multi-Brand Car Workshop is about organising information, not predicting a settlement. Drivers in Guwahati, Assam and Northeast India should use their own insurer’s requirements as the final checklist.

Begin with a one-page timeline

Write down the incident date and location, the date it was reported, the claim reference, and the current location of the vehicle. Add each subsequent request or decision with its date. Keep the language factual. For example, “photographs requested on Monday; supplied on Tuesday” is more useful than “the file is delayed.”

If you discover an error, correct it transparently through the insurer’s channel and keep the correction. Do not quietly change the story in different documents. The timeline should help the owner and insurer discuss the same event.

Create four clearly named sections

  • Policy and vehicle: the policy schedule, vehicle registration and driver details requested by the insurer.
  • Incident evidence: photographs, the factual description and any event-specific reports requested.
  • Assessment and decisions: survey communications, insurer requests and written authorisations.
  • Repair and payment: estimates, approved changes, invoices, receipts and settlement correspondence.

The exact documents vary by claim. An insurer’s own document guidance illustrates why an accident file, a cashless file and a reimbursement file should not be treated as identical. Confirm requirements directly with the company that issued your policy.

Separate pending work from approved work

Mark each estimate version with its date. When another damaged item is found, ask whether it requires a supplementary submission and whether approval remains pending. Avoid labelling the whole repair “approved” when only part of the estimate has been accepted.

Keep a separate note of work you choose to pay for yourself, such as unrelated maintenance. Mixing routine servicing into the accident discussion can make the final bill harder to understand. Ask for customer-payable items to be explained before consenting to additional work.

Share enough information, not everything publicly

A workshop needs relevant records to assess the vehicle and discuss repairs. It does not need your account passwords or one-time passwords. Verify the recipient before sending identity documents. Keep an owner copy of every submission rather than relying on a chat that might later be deleted.

At CarTech Hub in Guwahati, a well-organised file helps the workshop explain its estimate and identify the next unanswered question. It cannot remove policy exclusions, substitute for survey findings or make an insurer accept a claim.

Close the file carefully

At delivery, reconcile the latest approved scope with the invoice, retain payment evidence, and save the settlement communication. Store the records securely for future reference. If a decision is unclear, request its written basis from the insurer rather than relying on an informal explanation.

Cashless authorization, claim admissibility and final approval depend on the customer’s policy terms, insurer approval, survey findings and applicable network/cashless arrangements.
